TERMS AND CONDITIONS OF ENROLMENT

Day School, Boarding School, Online School and Tertiary Education Programmes

1. INTRODUCTION

These Terms and Conditions govern the relationship between Renstay Private College (“the College”), its students, parents, guardians, sponsors, agents, and any person enrolling in or using the College’s educational services.

By enrolling a student, accessing College facilities, attending classes, using College systems, participating in College activities, or accessing any online learning platform, the student and parent/guardian agree to be bound by these Terms and Conditions.

For students under 18 years of age, the parent or legal guardian accepts these Terms on behalf of the student.

2. ABOUT RENSTAY COLLEGE

Renstay College is a Christian educational institution providing:

Day School Education
Boarding School Education
Online School Education
Primary Education (Grade 5–7)
Secondary Education (Form 1–6)
Technical and Vocational Education
Diploma Programmes
Professional Development Courses
International Online Learning Programmes

The College reserves the right to modify, update, suspend, or discontinue any programme at any time.

3. CHRISTIAN / APOSTOLIC ETHOS

Renstay College operates according to Christian / Apostolic values and principles, specifically Johane Masowe chishanu religion.

Students are expected to:

Respect Christian / Apostolic teachings and practices including prayer times, prayer journeys and prayer fastings even during schooling days or mid-terms.
Participate in designated assemblies and devotions.
Respect religious beliefs of others.
Maintain behaviour consistent with the College’s values.

4. ADMISSION AND ENROLMENT

Admission is subject to:

Completion of application forms.
Submission of required documents.
Payment of registration fees.
Acceptance by the College.

Admission may be refused or cancelled if information provided is false, misleading, incomplete, or fraudulent.

5. STUDENT CODE OF CONDUCT

Students shall:

Behave respectfully.
Follow College rules and regulations.
Respect staff, fellow students, and visitors.
Refrain from bullying, harassment, discrimination, violence, or intimidation.
Use College property responsibly.
Maintain academic integrity.

The College may impose disciplinary measures including:

Warnings
Detention
Suspension
Expulsion
Restriction from activities

6. ACADEMIC REQUIREMENTS

Students are expected to:

Attend classes regularly.
Complete assignments and assessments.
Meet academic standards.
Participate actively in learning.

The College does not guarantee:

Examination results.
Graduation outcomes.
Employment opportunities.
University admissions.

Academic success depends on individual student effort and performance.

7. ONLINE LEARNING TERMS

Online students must:

Maintain internet access.
Use suitable devices.
Protect login credentials.
Participate in required learning activities.

The College shall not be liable for:

Internet failures.
Device failures.
Third-party platform outages.
Power interruptions.
Student technology limitations.

8. FEES AND PAYMENTS

Parents, guardians, sponsors, or students agree to pay:

Tuition fees
Boarding fees
Registration fees
Examination fees
Technology fees
Practical fees
Activity fees
Transport fees
Other applicable charges

Fees are payable according to the College fee schedule.

Late payment may result in:

Suspension of services.
Restriction of access.
Withholding of reports or certificates.
Cancellation of enrolment.

All collection costs and legal expenses incurred in recovering unpaid fees shall be payable by the responsible party.

9. REFUNDS

Registration and application fees are non-refundable.

Refunds of tuition or boarding fees shall be governed by the official College Refund Policy in effect at the time of withdrawal.

The College reserves the right to deduct administrative and processing charges.

10. BOARDING STUDENTS

Boarding students must comply with all boarding regulations.

The College reserves the right to:

Conduct room inspections.
Enforce boarding discipline.
Restrict prohibited items.
Supervise student activities.

The College may require immediate collection of a student for serious misconduct.

11. EXTRACURRICULAR ACTIVITIES

Students may participate in:

Sports
Educational tours
Excursions
Camps
Leadership programmes
Community projects
Cultural activities
Competitions

Participation may be compulsory where deemed part of the educational programme.

12. SPORTS, ACTIVITIES, TRIPS AND EXCURSIONS

Parents and students acknowledge that participation in:

Sports
Physical activities
Practical training
Excursions
Field trips
Competitions
Camps
Outdoor education

involves inherent risks, including serious injury, permanent disability, illness, or death.

The College will take reasonable steps to provide supervision and safety measures.

However, participation remains at the student’s own risk.

13. MEDICAL CONSENT

Where emergency medical treatment is required and parents cannot be reached promptly, the College, its staff, or authorised representatives may:

Obtain medical advice.
Arrange transportation.
Authorise emergency treatment.
Authorise surgery if medically necessary.

Parents and guardians hereby grant such authority.

14. MEDICAL COSTS AND HEALTHCARE RESPONSIBILITY

The College is not a medical aid provider, health insurer, hospital, clinic, or healthcare provider.

The parent, guardian, sponsor, or student shall be solely responsible for:

Medical expenses
Hospital costs
Surgical costs
Ambulance costs
Specialist costs
Rehabilitation costs
Prescription costs
Medical evacuation costs

arising from:

Illness
Injury
Accidents
Sports participation
School activities
Excursions
Educational trips
Boarding residence
Transportation
Any other College-related activity

The College does not provide insurance cover for students unless specifically stated in writing.

Parents are strongly encouraged to maintain adequate medical insurance.

15. LIMITATION OF LIABILITY FOR INJURY, ACCIDENT OR DEATH

To the fullest extent permitted by applicable law:

The College shall not be responsible for medical bills, healthcare expenses, injury claims, disability claims, loss of income, emotional distress claims, or other damages arising from:

Sports activities
School trips
Educational tours
Extracurricular activities
Practical lessons
Boarding activities
Recreational activities
Student travel
Student negligence
Acts of other students
Natural events
Unforeseeable accidents

Parents, guardians, sponsors, and students expressly acknowledge and accept these risks.

Nothing in these Terms excludes liability where exclusion is prohibited by applicable law.

16. INDEMNITY

The parent, guardian, sponsor, and/or student agrees to indemnify and hold harmless:

Renstay College
Its directors
Officers
Employees
Teachers
Volunteers
Representatives
Agents

against claims, losses, damages, expenses, legal costs, liabilities, injuries, illnesses, disabilities, or deaths arising from participation in College activities except where caused by wilful misconduct or gross negligence that cannot legally be excluded.

17. TRANSPORTATION

Students using College transportation do so subject to College transportation rules.

The College shall not be liable for delays caused by:

Traffic
Vehicle breakdowns
Weather conditions
Road closures
Government restrictions
Circumstances beyond reasonable control

18. PROPERTY AND PERSONAL BELONGINGS

Students are responsible for safeguarding personal property.

The College shall not be liable for:

Theft
Loss
Damage
Misplacement

of personal belongings including electronic devices, money, jewellery, vehicles, books, clothing, or other property.

19. PHOTOGRAPHS AND MEDIA

The College may use photographs, videos, recordings, student work, and event media for:

Educational purposes
Marketing
Publications
Social media
Promotional materials

unless written notice of objection is provided.

20. DATA PROTECTION

The College may collect, store, process, and use student and parent information for educational, administrative, regulatory, safety, and operational purposes.

Information may be shared where legally required or necessary for educational administration.

21. INTELLECTUAL PROPERTY

All course materials, videos, content, learning systems, branding, logos, documents, and educational resources remain the property of Renstay College.

Unauthorised copying, distribution, resale, recording, or publication is prohibited.

22. FORCE MAJEURE

The College shall not be liable for interruptions caused by:

Natural disasters
Epidemics
Pandemics
War
Civil unrest
Government action
Utility failures
Internet disruptions
Events beyond reasonable control

23. TERMINATION OF ENROLMENT

The College may suspend or terminate enrolment where:

Fees remain unpaid.
Serious misconduct occurs.
False information was provided.
Safety concerns arise.
Rules are repeatedly violated.

24. CHANGES TO TERMS

The College reserves the right to amend these Terms and Conditions at any time.

Updated versions shall become effective upon publication or notification.

25. GOVERNING LAW

These Terms shall be governed by the laws applicable to the jurisdiction in which the relevant Renstay College campus or programme operates.

For online programmes, disputes may be governed by the laws designated by the College from time to time.

26. ENTIRE AGREEMENT

These Terms, together with the College’s:

Enrolment Form
Student Handbook
Fee Schedule
Privacy Policy
Boarding Rules
Academic Policies

constitute the entire agreement between the parties.

PARENT/GUARDIAN DECLARATION

I confirm that:

I have read and understood these Terms and Conditions.
I accept all responsibilities outlined herein.
I understand that participation in sports, activities, trips, excursions, and College programmes involves inherent risks.
I accept responsibility for all healthcare, hospital, medical, surgical, and rehabilitation expenses relating to the student.
I authorise emergency medical treatment where necessary.
I agree to indemnify Renstay College as permitted by law.
